Board Meeting - December 2005

Board Meeting Agenda:

Internet Site:
Discussion about taking group photos of the orchestra before the March concert- decided to have photo taken in the choir room (or possibly on the steps outside of the PAC) prior to the start of the March concert program. Will discuss with the photographer.
Contributors: an update of the contributors will be emailed to Tom to update the website.
Financial statement - The financial status of the orchestra is about the same as last year. We are waiting for the Wright Hennepin Grant of $1,000. A copy of last years financial statement was handed out.
Attendance at the October concert: How many people attended? Will ask and see if Mike Walsh would know a good estimate.
Discussion about having different colors of tickets to designate - senior citizens, students, and adults so that type of tickets sold could be more easily figured out. It is important to stress to ticket takers to collect all tickets at the door for an accurate attendance count.
October concert financial report: Julie will revise as some expenses initially included were for music from last spring. Also, for Peter and the Wolf - conductor bought own score. Narrator score was $12.00
December concert:
The board agreed to use The Drummer and the Wright County Journal Press again for advertising. Ads to run three times prior to concert.
Would like to include lots of pictures of the choirs, Orchestra and narrator for the newspaper press releases. Once a group photo is taken to include in the paper, Sandy will E-mail photos to Ed DuBois at The Drummer. A snow machine is currently in south Minneapolis it is 16 feet long and will need to be picked up and then returned if we want to borrow for the concert. Mike Walsh offered to pick up the snow machine, but would need to rent a vehicle for to transport. A member of the BCO mentioned concerns about the fake snow getting in their instrument. It was decided not to use the snow machine, and instead try lighting changes using the spotlights as snowflakes with filters on the lights. A concern was raised about the stage lighting for the choir and lighting effects will be tested at Saturday morning rehearsal to be sure that the choir can clearly see Mike Walsh.
Silent Santa:
December concert will be a drop site for Silent Santa - toys and cash donations will be accepted.
Questionnaire:
A questionnaire will be added to the December concert program with questions for the audience to express their thoughts and ideas about BCO programs.
Sandy will mail out postcards to patrons to remind them about the upcoming concerts and will start compiling a mailing list.
We will have a sign up at the ticket table for the mailing list. Sandy will maintain the list and keep it updated.
We need to budget for this mailing, and will wait for the December concert results before a decision is made.
